Role Overview:

As a Driver Services Administrator, you'll be the first point of contact for our drivers when they need to book a service, MOT, or repair or when they experience a vehicle breakdown. Your role will be vital in delivering efficient, friendly, and timely service, ensuring that all processes run smoothly and customers' needs are met. You'll be responsible for managing bookings, liaising with our network of suppliers, and resolving any queries in a way that ensures high levels of customer satisfaction. 

Location:

Based in Leeds, with opportunities for flexible, hybrid working once you're up to speed with your role (typically three months). Initially, you'll spend time in the office to build strong relationships with your team and internal stakeholders before transitioning to remote work options, in line with customer and team needs.

Key Responsibilities:

  • Be the first point of contact for drivers needing services such as MOTs, repairs, or breakdown assistance.
  • Book services, repairs, and MOTs efficiently, ensuring bookings are made in line with customer fleet requirements.
  • Provide clear and accurate information to ensure a ‘Right First Time' approach.
  • Manage service bookings and reallocate rejected bookings, keeping drivers updated throughout the process.
  • Organise recovery and repair arrangements for drivers experiencing mechanical breakdowns.
  • Arrange rental vehicles for drivers when permitted by company policy.
  • Maintain strong, professional relationships with suppliers to ensure quality service delivery.
  • Collaborate with colleagues across teams to resolve complex queries.
  • Ensure all interactions are accurately documented in our case management system.
  • Consistently achieve high customer satisfaction and contribute to a positive feedback loop from our corporate clients.

Essential Skills & Experience:

  • Excellent communication skills, particularly over the phone.
  • Ability to work with multiple systems, and feel comfortable navigating bespoke software.
  • Strong multitasking abilities—manage phone calls while documenting information in the system.
  • Ability to write clear, concise, and friendly emails covering booking details and other communications.
  • Consistently maintain enthusiasm and a positive attitude, even when performing repetitive tasks.
  • Ability to organise and prioritise tasks to ensure deadlines are met and drivers' needs are handled promptly.
